Case Study: Yurbi Tackles Data Collection, Data Storage, and Data Reporting Issues via a Powerful Integration
Over the years, we have seen that many companies not only have data reporting challenges but data collection issues as well. The quality of any report or dashboard is directly tied to the quality of the data. You’ve probably heard the phrase “junk in, junk out.” But what you may not realize is the cost of a BI solution, or put differently, the complexity of creating reports, is also directly tied to the accessibility and structure of the data being reported on.
What we find with some organizations is that they have a very manual process of collecting data which makes reporting and analysis on the desired data extremely challenging.
In this article, we’ll talk about the use case of how Yurbi helped one such customer.
The Client Situation
We began working with an advanced technology company based on the West Coast that had grown rapidly through a combination of trade shows and advertising campaigns. While the company was growing, a very complex reporting process was developed to aggregate all of the data employees gathered at trade shows and via different campaigns.
The company’s teams were gathering great data, such as percentage attendance, percentage engagement, media scores, and press coverage. However, the teams were collecting all of this data manually and compiling the data into Microsoft PowerPoint slides. At the end of each quarter, all of the stakeholders would send their respective PowerPoint slides to one main point of contact, who then created one PowerPoint deck that was provided to the company’s management team.
The PowerPoint decks were helpful for the company’s management team during quarterly reviews, but the company was not able to analyze the data its teams had gathered due to the format in which the data was collected. Additionally, the process of gathering and documenting data from tradeshows and campaigns was both time-consuming and left a lot of room for human error. In the end, this company had a ton of great data but did not have a proper database in which to store it.
Yurbi’s Solution to Data Collection (and Storage) Issues
When we began working with this company, there were three primary goals: Streamline the collection of data via a web-based interface, centralize data storage to make reporting easy, and create powerful, interactive web-based dashboards to summarize tradeshow and campaign data and allow detailed analysis and comparisons.
Executives (and sales and marketing reps) were looking forward to a future where they could slice and dice event results in near-real time and compare and contrast which events were performing the best. The other major benefit was not having to spend an entire week or more at the end of each quarter trying to pull together a PowerPoint slide and trying to dig through notes to remember what happened 3 months ago!
Yurbi was already a great fit for fulfilling the third goal of creating the interactive summary and detailed views of the company’s data from one central database, but we had to work with the company to solve the data collection and data storage issues.
This customer didn’t want to spend a large amount of money on a data warehouse and infrastructure, so we proposed a creative solution that worked out incredibly well. Our proposal included an integration of Yurbi with a WordPress Content Management System (CMS), which is not only a free CMS available for commercial use but is also the most widely used content management system in the world. This solution worked perfectly because WordPress made it simple for the company’s different teams to collect data via simple web-based forms (this included rich media like pictures and video from the events).
Our Professional Services team was also able to create a custom set of tables in the embedded Yurbi database (PostgreSQL for those techies who want to know) and this allowed WordPress to store the data gathered from WordPress pages into a central database that was optimized for the types of reports and dashboards they needed. The WordPress integration solved the data collection and data storage issues.
The Bottom Line
When we connected Yurbi to the company’s new database tables of the submitted data, we were able to create all the reports needed very quickly. As a big plus we were able to create each department a Yurbi dashboard that embedded the WordPress form, so in one place, team members could submit data securely and access all the reports and dashboards for their department. For the management team, they were able to access reports and dashboards that consolidated data from all the departments and slice and dice the data by events, time frames, and more.
Because of the solution we developed, this customer now has a dynamic database and reporting solution that solved each data issue the company was facing. The company now has a streamlined method of collecting data, an easily editable database that can be adjusted as data needs change and access to all of the powerful reporting and dashboard features that Yurbi has to offer.
