The Definitive Guide to Yurbi Audit Options
We built Yurbi from the ground up as an integrated, seamless business intelligence (BI) platform. Thanks to Yurbi’s smooth design and functionality, Yurbi has robust auditing capabilities that allow Yurbi admins to track all of the user activity within Yurbi. In this definitive guide, we’ll highlight the benefits of Yurbi’s auditing capabilities and how to most effectively use this feature.
Accessing Audit Features via Audit Options
Yurbi admins can access audit features in two ways: Audit Options and the Yurbi v10 App. Yurbi Audit Options can be accessed via the admin dashboard. Within Audit Options, Yurbi isn’t just conducting security monitoring but extends its auditing capabilities for complete data governance. Data governance looks at both the security of the system and what users are doing inside the system.
Audit Options provides an easy way for Yurbi admins to audit security, reporting, user management, group management, and general items. Admins can select or deselect the specific components within each category on which to run audits, in addition to how long to retain the data (e.g. 30 days or 210 days). Retention periods are often decided based upon your compliance standards.
It’s important to note that Yurbi stores audit data by adding it to the installation database of Yurbi, therefore in order to run audits there must be enough space within your database to do so. This is why we automatically deselect the “Report Execution SQL” under the reporting category because this option runs reports on every SQL query run within Yurbi, which could fill up a database very quickly.
Accessing Audit Features via The Yurbi App
The second way Yurbi admins can audit user activity is via the Yurbi v10 App, which is found under the Builder tab. This App allows users to tap into all of the reporting capabilities within Yurbi that include the Audit Options categories and the v10 App also allows admins to audit other areas of Yurbi such as dashboards and contacts.
The Benefits of Yurbi’s Auditing Capabilities
Yurbi’s audit feature has many benefits that not only enhance security, but also ensure that companies are using Yurbi to its fullest potential. Yurbi’s auditing feature benefits specifically add value to:
- Security: Yurbi’s auditing capabilities provide several security benefits. First, Yurbi allows admins to monitor login failures, which can be an indicator of a security issue. If your account has excessive login failures, this may indicate a hacker trying to break into your system.Second, admins can create a scheduled audit that sends a notification whenever a member is added to a user group that works with sensitive data (e.g. HR members who work with salary and social security information). This prevents users from accessing data they are unauthorized to see.
- User Adoption: If you have spent time and money purchasing, configuring, and training staff on a business intelligence solution, it’s a good idea to make sure they are using it.With Yurbi’s auditing capabilities, you will be able to know if your company’s users are actually using the product because Yurbi allows admins to run audits on logins and report creation. If logins and report creation are low, this may indicate that your company’s users do not know how to use the solution and need additional training in order to fully adopt it.
- License Management: Typically when companies purchase a BI solution, they’re unsure exactly how many user licenses they will need and most vendors oversell user licenses to customers. However, in the Yurbi sales model, we advise customers to purchase fewer user licenses and then evaluate the number of users licenses needed based upon an audit of user logins and concurrent sessions.By auditing user logins and concurrent sessions, Yurbi admins will be able to identify frequent Yurbi users and casual Yurbi users, with the ability to reallocate license types in relation to how much a user is accessing Yurbi.
- Administrator Duties: Yurbi’s audit capabilities also help with general admin tasks. This may include tasks such as keeping users up-to-date based upon who does or does not work at your company, or who has transferred to another team. Another task may include monitoring and managing scheduled reports to ensure the reports being scheduled are from current users.
- Read Receipts: Similar to the feature within email clients that notifies users when an email has been read, Yurbi admins can use audit options to determine whether someone has read a report via read receipts.
The Bottom Line
Through Yurbi’s audit options, we have provided users with the ability to monitor both the security and internal adoption success of Yurbi. Audit options also enable users to carry out administrative duties more easily. Ultimately, all of the benefits above contribute to the ability to measure the ROI of Yurbi within an organization because Yurbi admins can see whether users are truly logging in and running reports, or if they need additional training and guidance.
